Terms & Conditions

Please read these terms carefully before making a booking with Hetwik Holidays.

These Terms and Conditions govern all bookings made with Hetwik Holidays (a travel brand of Hetwik Horizon Pvt Ltd). By making a booking, you agree to be bound by these terms. Last updated: January 2025.

Booking Policy

  • All bookings are confirmed upon receipt of a minimum 25% advance payment of the total package cost. Verbal or WhatsApp confirmations alone do not constitute a confirmed booking.
  • Package prices are quoted per person or per couple as specified. Prices are valid at time of quotation and are subject to change until full payment is received.
  • Hetwik Holidays acts as a travel service provider and booking intermediary. Hotel, transport, safari and other services are provided by third-party partners.
  • All bookings are subject to availability of hotels, vehicles, safari permits, and other travel services at the time of confirmation.
  • Itineraries are indicative. Actual routing, hotels, and activities may vary due to operational requirements, weather, availability, or force majeure events.

Payment Policy

  • 25% of the total package cost is required at the time of booking confirmation. The remaining balance must be paid 30 days before the departure date.
  • For bookings made within 30 days of departure, full payment is required at the time of booking.
  • Accepted payment methods: bank transfer (NEFT/RTGS/IMPS), UPI, and cash. Receipts will be provided for all payments.
  • Payments made by credit/debit card may be subject to additional processing charges.
  • All prices are quoted in Indian Rupees (INR) unless otherwise specified. International packages may be quoted in INR equivalent of USD or AED rates prevailing at time of quotation.

Cancellation Policy

  • Cancellations made 45 or more days before departure: 10% of total package cost is retained as cancellation fee.
  • Cancellations made 30–44 days before departure: 25% of total package cost is retained.
  • Cancellations made 15–29 days before departure: 50% of total package cost is retained.
  • Cancellations made 7–14 days before departure: 75% of total package cost is retained.
  • Cancellations made less than 7 days before departure or no-show: 100% of total package cost is forfeited.
  • Refunds, where applicable, will be processed within 15 working days of the cancellation request being received in writing.
  • Safari permits, domestic flights, and certain hotel reservations may have stricter cancellation terms imposed by third-party providers. These terms will be communicated at the time of booking.

Amendment Policy

  • Date changes requested 30 or more days before departure are subject to availability and an amendment fee of ₹500 per person.
  • Date changes requested less than 30 days before departure are treated as cancellations and rebookings at prevailing rates.
  • Name changes after tickets/permits have been issued are not permitted and will require cancellation and rebooking.

Our Responsibilities

  • Hetwik Holidays is responsible for the quality of travel services it directly manages and coordinates.
  • We are not liable for cancellations, delays, changes, or failures caused by airlines, third-party hotels, transport providers, or other travel suppliers.
  • We are not responsible for loss of baggage, personal belongings, documents, or passports during travel.
  • In the event of civil unrest, natural disasters, pandemics, or other force majeure events, Hetwik Holidays will make best efforts to assist travellers but cannot be held liable for costs incurred.

Travel Risk

  • Travellers are advised to obtain comprehensive travel insurance covering trip cancellation, medical emergencies, evacuation, and baggage loss before departure. Hetwik Holidays does not provide travel insurance.
  • High-altitude destinations (Leh Ladakh, etc.) carry inherent health risks. We strongly advise medical consultation before booking such trips. Travellers with pre-existing medical conditions should consult their physician.
  • Wildlife safari activities carry inherent risks. All safari guests must follow park guidelines and naturalist instructions at all times.
  • Hetwik Holidays recommends that travellers check government travel advisories for their destination before departure.
  • International travellers are responsible for ensuring their passport is valid for at least 6 months beyond their planned return date and that they hold all necessary visas.

Governing Law

  • These terms and conditions are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts in Muzaffarnagar, Uttar Pradesh.
  • By making a booking with Hetwik Holidays, you confirm that you have read, understood, and accepted these terms and conditions in full.
